Assistance for the organization of guest speakers and workshops at the Faculty of Education

The objective of this fund is to facilitate the invitation of guest speakers to the Faculty of Education, for dissemination of research results or for leading training workshops. In the context of its research and professional development activities, the Faculty of Education encourages the invitation of prestigious speakers. The invitation may be made by the Vice-Dean (research) or by the suggestion of one or several regular professors of the Faculty. The lectures must meet one or some of the following objectives:

  • inform professors of the most recent trends in the development of knowledge in education;
  • train professors in topics related to their field or to the most recent research methods used in education; or
  • train professors in topics related to their teaching: in this particular case, it must be demonstrated that this kind of activity cannot be funded by the University Teaching Services;
  • have the potential to attract an important number of participants;
  • the request must include an effecient promotion strategy contributing to the Faculty's visibility.

Follow-up of the project

Once the project is approved, the professor must obtain the following information from the speaker: the date, time, and precise length of the presentation. The professor transmits the information in the form a letter to the vice-dean who then sends an official invitation to the speaker. The letter will contain the procedures regarding the expenses associated with the visit and confirm the honorarium, if applicable.

Honorarium

If the speaker requests an honorarium, the Vice-Dean (research) will consider the following elements:

  1. the validity of the requested honorarium;
  2. the reputation and the expertise of the speaker;
  3. the reasons for the visit (for example is the person a visiting scholar or a speaker invited by the Faculty);
  4. the nature of the presentation and its duration: did the speaker choose the topic of the presentation or was it solicited by the professor? Is it a presentation of a few hours or is it a two- to three-day workshop;
  5. the amount of the honorarium could increase if an entrance fee is requested of participants to reduce the cost of the event.

To receive the honorarium before or on the day of the presentation, the speaker must send the following information, six weeks prior to the visit: name, complete address, social insurance number and date of birth. This information should be sent to the office of the Vice-Dean (research).

In the case of speakers not requesting an honorarium, the professor may suggest to the Vice-Dean (research) a means of expressing the Faculty's gratitude through a small gift to the speaker or any other means of recognition.

In most cases, the speaker will pay all the expenses in advance. Reimbursement will be made within two weeks after the presentation. Please see the section in the appendix of rules of the University regarding this subject.
